MSP outbound is the proactive process by which MSPs identify, engage, and qualify target companies that match their Ideal Client Profile (ICP). The ultimate goal is to consistently secure first-time appointments with qualified decision makers.

Stage 1: Identify
Create a targeted list containing company name, website, industry, and phone numbers. Continuously refine this list as outbound performance data informs better targeting decisions. Don't worry about buying lists or subscribing to data platforms. You can easily do this using some free tools and Google.
Most of the data in platforms is 40% or more inaccurate, and spending a lot of time researching prospects that may never engage via the phone or email will burn most of the time you'll have available for outbound activity.

Stage 2: Gatekeeper Qualification
During initial outreach, gather key data points to determine whether further engagement is worthwhile:

Stage 3: Decision Maker Outreach
Once you've qualified a lead by size, industry, IT support attitude and contract end dates, and learned who the actual decision makers and stakeholders are, you can proceed with decision maker outreach.
Use a multi-channel strategy to reach decision makers, combining phone (office line or direct dial), email, LinkedIn touchpoints, direct mail, or, where sensible, in-person visits.
The size and quality of the potential opportunity should determine how much time is spent pursuing a prospect and what channels are selected. For example, you may choose an in-person visit to deliver a perishable gift (like donuts) or branded leave behind or "shock and awe" direct mail to pursue a known "best fit" opportunity. A smaller or unknown opportunity might not justify the cost, time or payroll of in-person visits. Put differently - you'll pursue the managing partner of a 50 employee law firm differently than you would the owner of a ten employee HVAC company. Try - and track - what's working best for you in order to document and replicate the best outcomes.

Stage 4: Curiosity-Driven Conversation
Outbound conversations are not technical demos.
Their purpose is to surface operational gaps, uncover growth frustrations, and assess fit.
Create curiosity to advance the discussion.
A good way to measure initial success without investing heavily in software or training is tracking how much time you're spending talking on your prospecting calls. If you're talking more than your prospect, you aren't leading with curiousity.
Using "How" and "What" open ended questions lead to better conversations than "Why" questions.
Example: "How did you come to that decision?" vs "Why did you do that?"
One sounds curious, the other implies your prospect had poor judgement when they made a choice. You rarely win deals by telling people they're wrong.
Remember, while you live and breathe technology and security, most SMB MSP prospects do not. You can't assume they understand acronyms, initialisms, tech jargon or how their current network is set up. They won't understand security. Talking about technology loses deals. Talk about their business. What are they trying to do? What are the owners personal priorities and interests? Do they even care about tech? You can't save everyone, and you aren't a charity. Don't burn time on prospects who don't care about I.T. and don't discount to support clients who don't see value in your services.

My general rule of thumb for FTA meetings for Fox & Crow is this: I will take one meeting with someone who doesn't have buying authority, but only to determine whether or not the prospect is a good fit for us. The next meeting must include all stakeholders. I don't write a proposal for anyone who hasn't gone through a full discovery process and committed to moving forward on an agreed upon timeline assuming our solutions meets their needs, timeline and budget.
An FTA is about fit - they're learning about you, you're also learning about them. If they're shopping on price or have gone through five MSPs in five years, this may not be a lead you want to pursue past the first time appointment.

Most first-time appointments are secured through diligent, structured follow-up. It takes about 17 attempts through multiple channels to engage a decision maker and secure an FTA. It's pretty rare that you'll identify a company that has the right number of computers, a contract that in renewal phase, and a prospect that is unhappy with their IT in one attempt. (It's nice when it happens, though!)
